What is this?
You can use OneDrive to share photos, Microsoft Office documents, other files, and entire folders with people. The files and folders you store in OneDrive are private until you decide to share them and you can stop sharing at any time.
This KB Article assumes you have already logged into Microsoft 365 and are viewing your OneDrive .
Instructions
There are multiple ways in which you can share a document.
1) You can 'right click' on the document or folder and choose share.
2) From your OneDrive, you can choose share at the top menu.
3) And when you are working with a file you can share it be choosing share in the upper right hand corner.
Select your method above with the file or folder you want to share, and then select Share. You should get this pop-up.
-
Enter the names of the people you want to share with and a message, if you want.
-
(Optional) Click the drop down list to change the type of link. The Details pane opens, where you can change who can access the link and whether people can edit the item you’re sharing.
-
Anyone creates a link that anyone can use to access the document or folder, even if they're not logged in to Office 365 or OneDrive.
-
People in Nova Scotia Community College creates a link that only people in your organization who are logged into Office 365 can use to access the document or folder.
-
People with existing access returns a link that can be used by people who already have access to the document or folder. It does not change the permissions on the item. Use this if you just want to send a link to somebody who already has access.
-
Specific people creates a link that only the people that you specify can use to access the folder or document. If you click this option, enter the names or email addresses of the people to whom you want to give access to the folder or document.
3. By default, Allow editing is turned on. If you want people to only view your files, uncheck the check box. When you're done, click Apply.
4. When you’re ready to send the link, click Send.
Get a link to a file or folder that you can copy
Another way to share is to get a link to a file or folder that you can copy and paste in a text message, on a website, or email. People you share these links with can also forward your link to others.
-
In your OneDrive, click Copy link. The link is automatically copied to your clipboard.
-
(Optional) Click the drop down list to change the type of link. The Details pane opens, where you can change who can access the link and whether people can edit the item you’re sharing. (see above for more details)
By default, Allow editing is turned on. If you want people to only view your files, uncheck the check box.
When you're done, click Apply.
-
Paste the link (Ctrl+V) to wherever you want, such as a text message, on a website, or email.
Important Notes:
-
The permission granted by a sharing link lasts only as long as the link exists. For example, when a link is disabled, access is revoked (though people may still have access to the file via other means).
-
When Allow editing is selected: After they sign in, people in your organization can edit, copy, or download the files. When Allow editing isn’t selected, people in your organization can view, and may be able to copy or download the files.
